On Tour Events were called upon to supply our services for a Jewish auction taking place at the 5 star Savoy hotel in London. The idea behind the auction was to raise money for numerous charities with an exhibition of Jewish artwork from all around the world. We were asked to supply a white tiered stage, venue lighting and a pair of large format LED screens.
Once we had a debrief from Richard, it was evident that the main focus of this event was ensuring the audience can see the different pieces of artwork on display, incorporating wireless cameras around the Savoy Hotel in London. (Please note video camera equipment was supplied by CameraWorks in London) The venue itself has a very comprehensive in house up lighting system which was more than adequate for the event. The only additions we made were to place moving head fixtures on 4 meter podiums around the edge of the venue allowing us to create aerial effects. The 4m podiums were supplied with custom white enclosures which would later be detailed & branded with the auction sponsors. Lighting was controlled via a Chamsys MQ80 chosen for its small footprint but extensive playback options, all backed up with the reliability of it being a Chamsys product. One of the requirements was quite specific utilising the venue space as best possible. Trying to maximise the space we had to accommodate the large pieces of artwork that were being auctioned, as well as the 700 seated guests appeared slightly tricky. After careful consideration we opted for a distributed and flown PA system making sure that we covered the venue back to front, side to side, coherently and clearly. The main PA was a flown L-Acoustics Kara system with 12 additional L-Acoustics iX8's distributed around the venue making sure everybody could hear exactly what they needed to and at the right time (pretty important when you're running an auction) The main PA system was also supplemented with a pair of SB118 sub enclosures. Front of house utilised a Digico SD9 & an 8-way Shure UFH-R handheld wireless rack. We installed 30 square metres of 2.9mm indoor LED screen split into two screens. All content was to be made in a 16 by 9 aspect ratio, hence why we installed the 2 x LED screens which measured 5 meters wide by 3 meters high either side of the stage. The auctioneer stage itself was a 6 meter wide x 4 meter deep stage @ 1 meter high, with four tiered steps across giving it a 23 degree circular front. In addition to the LED screens on stage we will also installed 6 additional 75'' full HD smart screens which were distributed around the venue making sure sponsorship & branding was clear, but most importantly the items for sale in the auction would be shown on these delay screens as well. A custom perspex lectern was made for the event including the auctions brand and slogan. Big thank you to Premier Injection for the customisation with this project as this was very intricate and a detailed project. Power had to also be routed through the lectern as well as a pair of lectern microphones which all had to be hidden and is not easy to get right when something is transparent! We installed over 380m of pleated white drape 6m tall, which all had to be installed within the 7-hour window we had. This was a task in itself as all of the exhibition equipment was also to be installed at the same time! Not only was it going to be busy in the room with different suppliers, the venue needed to lay out tables to seat 700+ people, so planning was key from the start making sure that suppliers did not work under each other. This was marvellously executed by the auctions own in-house event planner Sasha. In addition to the tiered stage, lighting & sound we also placed a full size bespoke one-off Yamaha white grand piano on a 10ft squared white acrylic floor as one of the main show pieces. The custom white acrylic floor also had the auction company logo and slogan detailed into it using CNC Engraving, which was then later custom detailed & painted. We are pleased to report that the auction raised thousands of pounds for charities across London and around the UK. We are delighted to have been part of this event and although this year's event has been postponed due to the current situation unfolding across London and the world, we are looking forward to returning to the Savoy next summer for another auction.
