+ASSESSING YOUR VENUE BEFORE THE EVENT
Unless hosting an event with a specific conference venue, it is usually worth paying a visit to your venue beforehand to make sure your proposed projector and screen hire options are going to work in your chosen space.
Make sure you find out whether your venue has any restrictions in place which would limit where you could set up a projector and screen. Another thing to keep in mind is that projectors (specifically their bulbs) can get extremely hot while running, which causes them to shut down entirely when the maximum temperature is reached. Thus, you need to ensure that the room is well ventilated.
After double-checking that you can safely set up a projector and screen in your venue, you need to consider its placement. Projectors have different throw distances, which is the distance needed between the projector and the screen.
Most projector models come with a zoom lens for a bit of flexibility, and our larger projectors actually come with interchangeable lenses to allow for more extensive adjustments. However, there’s only so much room to manoeuvre, so bear that in mind.
+CHOOSING THE RIGHT PROJECTOR
Choosing the correct projector setup comes down to two things – brightness and resolution.
Brightness is the most significant factor when determining the quality of a projector. Budget projectors with 2,500 lumens may seem tempting because of their lower price, but the sacrifice you have to make in output quality just isn’t worth it.
You want to push for as many lumens as your budget will allow and not settle for anything lower than 5,000 lumens.
Many projectors can project in Full HD 1080p. Having a projector that can handle high resolutions helps elevate your event, make it seem more professional, and do justice to your content.
Another issue to note is your preferred aspect ratio. HD content is 16:9, while lower resolution footage requires a 4:3 ratio. Projectors can do both, but you want to make sure you match your content source aspect ratio with whatever your projector is set to. Otherwise, you end up with those unsightly black bars along the top and bottom or sides of the projection.

That's why getting the screen size to fit both the event and the venue is crucial. The screen size depends on both the size of the room and the layout of the audience. Measure the distance between where the screen will be and where the audience member furthest from the screen will sit (or stand). Your screen height should be around one-sixth of that number! For example, if the distance between the furthest audience member and the screen is 30m, the screen should be roughly 5m tall.
