+ CORPORATE EVENT LIGHTING
Lighting is a crucial element of any corporate event, and yet it is so often overlooked by event organisers. By making smart choices with your corporate event lighting, you can set the right ambience and tone for the occasion while adding that air of professionalism that so many corporate events sorely lack. But where is the best place to begin? Here at On Tour Events, we believe the best-lit corporate events always start with a plan.
+START WITH YOUR CORPORATE EVENT LIGHTING PLAN
Where corporate event organisers often go wrong is by not taking the venue in question into account. Therefore, that’s where you need to start when it comes to your event lighting. Acknowledge on-site lighting limitations, mark the critical positions for lighting installations and factor in whether you’re going to need any rigging to create a lighting setup you’re happy with.
Then cross-reference those plans with where power sources are located and check with the venue what their rules are regarding fixing lighting equipment to walls and ceilings. In many instances, sites are well set up for these considerations, especially if they are a purpose-built conference venue, for example.
If this all sounds a bit technical to you, don’t worry, our team can help you assess your needs against the capabilities of the venue as long as we’re supplied with enough information. In some instances, we may even be able to make an on-site visit to make our recommendations. Once you’ve agreed upon your plan, it’s time to think about what lighting equipment you might need.
+CHOOSING YOUR CORPORATE EVENT LIGHTING EQUIPMENT
Technically this is likely to overlap with the planning process as some venues will preclude you from using some forms of lighting. Of course, pretty all types of event lighting have a place within the corporate setting, but here are our recommendations for your most likely choices.
It would be very odd for your event not to require spotlights. Since most corporate events revolve around speakers or presenters on a stage (we also provide stage hire should you need it), you’ll need to have a least a few spotlights to properly illuminate them.
+PAR LIGHTING FIXTURES
Another consideration for your stage may be PAR lights, which can help to effectively illuminate the stage area while your spotlights focus more exclusively on the stage performers. If presenters are relying on either projector or LED screens, then it’s essential to choose a colour that aids the viewing experience. You want to avoid anything too bright that leaves the screen washed out by the lights.
+MOVING HEAD LIGHTS
Whether you’re planning a corporate event in an auditorium-style venue or a conference room, they’re not always the most inspiring of places. Beige walls and ceilings are not environments that get the pulse racing. Therefore, it might be wise to consider moving head lights, which can not only ‘wash’ the room in a new colour, but, as the name suggests, they can also throw beams of light that continuously move around the room. You can even set them to transition through colours on a pre-set spectrum to add an extra touch of class.
You can achieve a similar effect with LED uplighters. These ground-based, and crucially, wireless lights are great for washing a room in colour. For instance, you could use them to adorn the room with the colours of your brand. They have the added advantage of often making ceilings looking taller and artificially widening the space between walls. You can also combine them with a Gobo, which we’ll now explain in more detail.
Gobos are an acronym for Goes Between Optics. They are small stencilled discs that can be attached to most lighting fixtures to create a pattern that can be presented across a stage, on walls, across the ceiling, or on the floor. If you’ve ever wondered how companies display those cool logos on the floor for an event, they’re using a gobo. What’s great is you can pair them with moving lights, to transport your branded message or logo right across the venue.
+OTHER ASPECTS TO CONSIDER FOR CORPORATE EVENT LIGHTING
The choice of lights isn’t just influenced by the venue and your budget. You need to think about other critical aspects such as whether you are filming or streaming the event, which is so often the case these days. You may have to liaise with your film team to ensure the lighting is suitable for the camera equipment, and make yourself aware of any potential consequences of your lighting choices.
The time of day that your corporate event takes place will also have a bearing. If your event takes place during the daylight hours, then some lighting options could lose their impact potential. By contrast, you may be able to cleverly harness natural light to create some interesting effects.
Similarly, whether your event is taking place indoors or outdoors could have a significant influence over your choice of lights, with many not suitable for outdoor use. If you need advice on how external factors influence lighting decisions, our On Tour Events team are always on hand to guide you through your options.
